Manage Tenant Users and Permissions

Add tenant users, assign household access, and control what each person can view or edit.

Tenant users are the people who can sign in and work inside your tenant. Each user belongs to exactly one tenant.

Add a tenant user

  1. Open Tenant, then go to Users.
  2. Select Add User.
  3. Enter identity details such as name, email, phone number, WhatsApp number, and role.
  4. Choose whether the user is active and whether the user should be treated as staff.
  5. Assign household ownership, manager access, or all-household access.
  6. Save the user.

Household access model

  • Access all households: manager-level access everywhere in the tenant.
  • Owner households: the user is marked as an owner and automatically receives manager-level access too.
  • Manager households: the user can help operate those households without becoming an owner.

Per-app permissions

Permissions can be configured by household and app. For each user and household, you can control whether the user can view, create, edit, or delete records in:

  • Documents
  • Tasks
  • Appointments
  • Flights

Why a user can or cannot see a record

Check these areas in order:

  1. Does the user belong to the same tenant?
  2. Does the user have access to the linked household?
  3. Does the user have permission for that app and action?
  4. Was the item marked Only for me by another user?

Deactivating a user

Deactivation is the correct way to remove access without losing history. The system prevents users from deactivating their own account from the tenant user form.

Recommendation: keep household access narrow by default, then grant broader access only where it is operationally necessary.
